EM&I is a Global organisation that provides Integrity, Inspection, Repair and Maintenance Services to the Upstream Oil and Gas Industry. The O-AIMS service package includes consultancy, engineering, project management and specialist site services.
Role
Carry out Project specific administration, invoicing and support and assist in all Project Quality and logistical function where necessary. Maintain all Project Management documents and registers.
Reporting to: Project Manger
Academic Competencies
Candidate should be educated to secondary school level and have gained certification in English, Mathematics, Administration and IT Studies.
Experienced in Microsoft applications Word, Excel, Powerpoint, Outlook, Microsoft Project and Visio would be an advantage.
HNC/HND in Business Administration or ECDL an advantage.
Experience Competencies
Must have previous project administration experience, preferably gained in an Oil & Gas/Engineering environment.
Responsilities
Adminstration
- Assist in the development and control of all Project related Cost time resource estimates and the Cost Sell Analysis Tool.
- Control all Project and personal timesheets
- Prepare all Project invoices with the necessary back up documentation (see below)
- General administrative support to the Projects
- Recording minutes for the Projects (internal/client) related meetings
- Branding control for all Project documentation
- Responsibility for the online Project library and document control
- Assisting with compilation and control of Work Packs and Inspection, Repair and Maintenance Reports.
- Development of Briefing Notes, TQMs etc included in the Project Files
- Control all Project related Purchase Orders
- Assist with Project specific logistics if applicable.
Document Control
- Develop and maintain Project CTR libraries
- Set up, update and maintain all Project Management registers
- Assisting Project Manager in developing monthly, quarterly and annual reports/reviews if applicable.
- Update and maintain Project Plans, budgets and other tracking reports.
- Control the Project Quality documentation
- Archive Controller for project documentation as per the specific contract
Invoicing
- CTR status reporting to Project Manager
- Project invoice preparation/coordination and controlling all invoice back-up (e.g. timesheets, expenses, manifests etc)
Any other tasks and project related activities as directed by the Line Manager.
